2. Include the 100% Zero Waste Materials Agreement in the vendor application. This document includes a list of acceptable items and a list of suppliers for these materials. Be sure to clarify who will be responsible for purchasing compostable and recyclable tableware for the event. The 100% Zero Waste Materials Agreement must be signed by all participating vendors. Copies of completed and signed forms must be returned to Eco-Cycle at least one week prior to the event. Completed agreements can be mailed, faxed or e-mailed to:

2 months to 2 weeks before the event:
1. Contact a distributor for compostable tableware if you are providing it for the event vendors. A list of distributors can be found in the 100% Zero Waste Materials Agreement.
2. Attend a Zero Waste Event Training at the CHaRM (approximately a 1-hour time commitment). After watching an instructional video, you will have an opportunity to ask questions and discuss your event with the Eco-Cycle Zero Waste Events Coordinator.
3. Include the Zero Waste event logo on all promotional materials. On your event website, link the Zero Waste event logo to Eco-Cycle's website (www.ecocycle.org).
4. Arrange for all food vendors to be grouped in a common area so they can dispose of their back-of-house waste at shared vendor Zero Waste Stations.
5. Arrange for trash service with another company for the event.
6. Secure a spacious vehicle for pick-up and delivery of the Zero Waste Stations.
7. Recruit 1-2 volunteers per Zero Waste Station to prevent contamination, help event participants sort their materials and swap bags when the bins are full. Volunteers are especially important for events that are open to the public since it is impossible to control the trash brought in by attendees. We suggest having volunteers available for the duration of the event, in shifts lasting 2-3 hours. Additional volunteers are needed 1 hour before and 1 hour after the event to help with set up and take down. An identifying element, such as a shirt or button, is useful for event participants to recognize volunteers.
8. Schedule rental collection and return dates with the Zero Waste Events Coordinator.
One week before the event:
1. Send volunteers a reminder of their shift day and time, directions to the event and the Volunteer Information page. The Volunteer Information page provides a general description of a Zero Waste Event, the duties of a volunteer and an outline of what materials are accepted at the Zero Waste Stations. We suggest having a meeting place where you can meet volunteers to train them prior to their shifts.
2. Verify that all food vendors have signed and returned the 100% Zero Waste Materials Agreement. Eco-Cycle must have copies of the completed and signed forms to secure your reservation.
Day before the event:
1. Come to the CHaRM at your scheduled pick-up time to collect the Zero Waste Stations and educational signs. The CHaRM is located at 5030 'Old' Pearl St. in Boulder (80301), just north of the intersection of 49th Street and Pearl Parkway.
2. Review the guidelines for acceptable and unacceptable materials so you can properly train volunteers and prevent contamination at the Zero Waste Stations.
Just prior to and during the event:
*These tasks may be done by the Zero Waste Coordinator or volunteers.
1. Provide Zero Waste training for volunteers.
2. Set up the public Zero Waste Stations and the vendor Zero Waste Stations. Explain the stations to the food vendors and emphasize the guidelines for the bins. Check all the materials the vendors are distributing to ensure compliance with the 100% Zero Waste Materials Agreement.
3. Remove or cover all trash cans at the event.
4. Set up the table-top signs and the "You Are Entering a Zero Waste Zone" A-frame signs if applicable.
5. Monitor the Zero Waste Stations for contamination. Oftentimes, event attendees look into the bins to see where to put their materials, so removing trash items from the top of the bins helps to minimize additional contamination.
6. Monitor the vendor Zero Waste Stations for contamination and review the guidelines with vendors who are having trouble using the bins.
7. Survey the area for the distribution of trash items. Ask vendors with trash items to either stop distributing the products or find acceptable alternatives.
8. If applicable, make stage announcements highlighting the Zero Waste aspect of the event in conjunction with Eco-Cycle. Mention that all materials handed out are compostable or recyclable and can be properly disposed of at Zero Waste Stations.
9. At the end of the event, count the number of full bags of compost, recycling and trash. Bags that are only partially full can be estimated and added to the tally (e.g. 1/2 bag, 1/4 bag, etc.)
10. Properly dispose of all trash collected at the event.
After the event:
1. Return the Zero Waste Stations, compostables and recyclables to the CHaRM at your scheduled drop-off time. Trash is not accepted at the CHaRM.
2. Do a brief waste sort with Eco-Cycle staff at the CHaRM.
3. Provide the DIY Zero Waste Event Feedback form to Eco-Cycle staff, including the number of bags of compost, recycling and trash collected at the event. This information is necessary to calculate your diversion rate and the resources saved during the event.
4. If desired, write a letter to the editor highlighting the success of your Zero Waste Event. Eco-Cycle will provide you with a template, if requested.
5. Eco-Cycle will send you an invoice as well as information about your waste diversion rate and saved resources within two weeks.
